A full mailbox can stop new mail arriving, cause delivery delays, or make mail clients behave unpredictably. On TekLan shared hosting, check mailbox storage in Enhance before assuming the mail client is broken.
Check Mailbox Usage
- Log in to web.teklanhosting.co.uk.
- Click the website that owns the email domain.
- Open Emails.
- Review the mailbox list and usage information.
- Open the affected mailbox if you need to adjust settings or check forwarding.
Check Webmail
Use the webmail button or SSO icon in Enhance to open the mailbox directly. If webmail works but Outlook, Apple Mail, or a phone does not, the issue is more likely to be client settings or local sync rather than the mailbox itself.
Look for Large Folders
Common storage-heavy folders include:
- Inbox with large attachments.
- Sent mail.
- Trash or Deleted Items.
- Spam or Junk.
- Archive folders copied from old accounts.
Emptying Trash matters. Moving mail to Trash usually does not free space until the deleted folder is emptied or purged.
Check Forwarding Behaviour
If a mailbox forwards to another address, decide whether it also needs to keep a local copy. Keeping both can fill storage over time, especially on addresses that receive attachments or automated notifications.
Check Mail Client Sync
IMAP clients can keep mail on the server. If several devices connect to the same mailbox, deleting mail on one device should normally sync to the server, but local archive settings vary by app.
If storage does not drop after deleting mail, check whether the mail client moved it to a server-side Trash folder that still needs emptying.
Reduce Mailbox Usage Safely
- Download important attachments before deleting old messages.
- Empty Trash and Spam folders.
- Archive old mail locally if your business needs retention.
- Remove duplicate forwarded mail if it is not needed.
- Use separate mailboxes for high-volume website notifications.
When Storage Is Not the Problem
If the mailbox has free space but mail still fails, check DNS records, SMTP authentication, password settings, and mail client configuration. A full mailbox is only one possible cause.
